Frequently Asked Questions
What is a Convention and Visitors Bureau?
A convention and visitors bureau (CVB) is a not-for-profit organization
supported by transient room tax, government budget allocations, private
membership or a combination of any or all three. The bureau in each city,
county or region has three prime responsibilities:
-
To encourage groups to hold meetings, conventions and tradeshows in the city or
area it represents;
-
To assist those groups with meeting preparations and on-site meeting support;
-
To encourage tourists to visit and enjoy the historic, cultural and
recreational opportunities the destination offers.
Do CVBs plan meetings and conventions?
A CVB does not actually organize meetings and conventions. It does, however,
help meeting planners learn about the destination and area attractions and make
the best possible use of all the services and facilities the destination has to
offer.
How do CVBs help meeting planners?
CVBs make planning and implementing meetings less time-consuming and more
streamlined. They give meeting planners access to a range of services, packages
and value-added extras. Before a meeting begins, CVB sales professionals can
help locate meeting space, check hotel availability and arrange for site
inspections. CVBs can also link planners with the suppliers, from motorcoach
companies and caterers to off-site entertainment venues. No matter the size of
the meeting being organized, from 50 to 50,000, all planners are encouraged to
use a Bureau's services, which are complimentary.
Does it cost to confirm my meeting through a CVB?
No. CVBs provide complimentary assistance to meeting planners.
Do CVBs only assist professional meeting planners?
CVBs will help individuals - volunteer or professional - plan meetings, trade
shows, conferences, reunions, sporting events, workshops, board meetings or any
other event that is associated with overnight stays in area hotels.
What are some of the specific services CVBs can offer meeting planners?
Depending on the size and scope of your meeting, CVBs can offer a variety of
services to meeting planners. Some of these services include
-
Assisting with on-site logistics and registration
-
Providing housing bureau services
-
Developing pre- and post-conference activities, spouse tours, and special
events
-
Assisting with site inspections and familiarization tours, as well as site
selection
-
Providing speakers and local educational opportunities
-
Helping to secure special venues
-
Assisting in the coordination of local transportation
-
Providing promotional/collateral material
